Student Guide (Legacy)
Introduction
The purpose of student employment at AIU is to provide a way for students to help defray their educational expenses and expand their life skill experiences.
Eligibility
Any full-time student enrolled at Asia-Pacific University may apply for On-Campus Employment. A full-time student is any undergraduate student who is registered for a minimum of 9 credits or permitted on a reduced class load to clear existing debt and are in good academic standing i.e.:
- Cumulative GPA of 2.0 or above
- Specific eligibility requirements will be outlined for each position in the posted job description
- All hiring is at the discretion of on-campus supervisors. As a result, students must complete an application and interview process to be considered for any position on campus
Number of Work Hours
Students may work up to 20 hours per week during the school year, and up to 40 hours per week during the summer when not taking classes and during vacation periods or with a reduced class load. You are allowed to work multiple jobs, but the combined hours must not exceed the maximum work hours permitted.
- Any exception in working hours require VPAA permission in consultation with the Academic Advisor
- Any student requesting/needing to work beyond the capped 20 hours per week, may need to reduce the academic class load as appropriate. This arrangement will require consultation with the Academic Advisor and the Student Work Program Coordinator
How to Apply for Jobs
On-campus job opportunities will be posted online at the Student Jobs Board in SARRA. When you find a position you're interested in, use the contact information in the listing to indicate your interest to the prospective employer.
Steps to Apply on SARRA
After logging into SARRA:
- Click "Jobs" on the top, left of the homepage
- Filter your search
- Apply for openings of interest
The Online Student Job board is updated as positions become available, therefore students are encouraged to check back frequently for new opportunities.
Technical Issues: Students who have issues with SARRA should contact the IT Department as soon as possible. The Director of IT can be reached by email at css@apiu.edu
Required Documents for New Students
If you're hired to work at AIU for the first time, you will need to submit:
- "Work Authorization Form" (Linked in the "Student Employment" section on SARRA)
- New Student Worker Packet Brochure - Please read and accept the terms and conditions for the Work and Responsibility Agreement
Important: Any change in name, status, or address must be brought to the attention of your supervisor and Student Work Program Coordinator.
Returning Student Workers
If you intend to work in the same department as you have in a previous semester, you do not need to reapply for your position. However, you must submit the "Hired Students Approval Form" (Linked in the "Student Employment" section on SARRA) each semester to ensure timely supervisor approval and payroll processing.
Work Expectations
You are responsible for meeting expectations outlined by your supervisors. As a student employee, you should demonstrate strong work habits, including:
- Punctuality: Arrive on time and stay for your full scheduled hours
- Humility: Be open to learning and feedback
- Accountability: Take responsibility for your work and actions
- Dependability: Be reliable and consistent
- Courtesy: Maintain professional and respectful interactions
- Professionalism: Complete assigned duties in a timely and accurate manner
You are expected to follow all guidelines outlined in the AIU Student Handbook.
Attendance & Timesheet Management
Attendance Requirements
- Be at work at your scheduled start time
- Do not leave before the end of your scheduled hours
- Notify your supervisor at least 30 minutes in advance if you will be late
- Frequent tardiness and absences can result in termination
- Failure to notify your supervisor can be considered an unexcused absence
Timesheet Completion
- Complete time sheets electronically via SARRA
- Round time to the nearest quarter hour (15 minutes)
- Submit your timesheet electronically
- If you work through an unpaid meal break, record that time as work time
Payment Process
All payments will be deposited into your student account after supervisor approval online.
Professional Appearance
Student employment is a training ground for professional employment. You are expected to:
- Report to work in clothes that are neat, clean and appropriate for the job
- When in question, your supervisor has discretion to determine appropriate attire
Workplace Conduct
Cell Phone Usage
- Limit cell phone use while at work
- Keep urgent calls as brief as possible
- Personal visits from friends during work hours are not permitted
Confidentiality
You may have access to confidential material such as:
- Financial information
- Employee information
- Grades
- Contact information
IMPORTANT: You are prohibited from sharing this information with others or using it for personal reasons. Under no circumstances should you release information to unauthorized persons. Breach of confidentiality will result in termination.
Managing Work and Academics
During Exam Weeks
- You are expected to work during midterm and final exam weeks
- Exception: When there's a timing conflict between exams and work
- Inform your supervisor in advance of any conflicts
- You may need to make up hours at a later date
When You're Sick
- Attempt to notify your supervisor as soon as possible (via phone or through friends)
- When you're well, complete the required leave form
- Have your illness certified by the University Nurse
- Missing time without proper documentation is treated as an unexcused absence
Taking Time Off
- Handle personal business outside of regular work hours when possible
- For planned absences (field trips, personal business), give at least 48 hours advance notice
- Your supervisor may require you to make up missing hours
Workplace Safety
If you're involved in an accident while working:
- Notify your supervisor immediately
- Visit the University clinic nurse within 24 hours
- Follow all required reporting procedures
Transferring Between Departments
If you want to transfer to a different department:
- You must have worked in your current department for at least one full semester
- Complete all required forms and procedures
- Warning: If you change work without following proper procedures, you will not be paid for hours worked in the new department until proper approvals are obtained

You will be evaluated on:
- Job knowledge
- Customer service
- Quality of work
- Adaptability
- Working relations skills
- Initiative and innovations
- Dependability
- Appearance
- Communication skills
- Leadership skills
Evaluations are completed electronically by supervisors. Contact the Student Work Program Office for assistance during your employment.
New Student Employee Checklist
After receiving a job offer:
- Complete online Work Authorization form or Student Internship Form
- Review Student Employee Information
- Verify your name, ID, and contact information are correct in SARRA
- Arrive on time for your first day of work
- Complete and submit timecards on SARRA regularly
Wages and Compensation
- Wage increases are not automatic
- Increases are determined by your employing department and supervisor
- Based on recognition of your work performance and skills
- Student Employee Time Entry is administered by IT Services
